1. Who we are
DineBills is a restaurant point of sale and management platform. It is operated by Codetrivio Technologies Inc., a company incorporated in Canada with its office at 308 Jarvis St, Unit 318, Toronto, ON M5B 0E3, and by its affiliate Codetrivio (Pvt) Ltd., a company incorporated in Pakistan with its office at 100 A PCSIR-1, Canal Bank Road, Lahore. In this policy, "DineBills", "we", "us" and "our" mean these two companies.
Codetrivio Technologies Inc. is responsible for your information as the main contracting entity. Codetrivio (Pvt) Ltd. provides engineering and customer support and processes information on its behalf.
2. What this policy covers
This policy applies to:
- our website at dinebills.com and its pages, forms and sign-up flows;
- the DineBills services: the web back office, POS apps for Windows and Mac, waiter and order-taker apps, kitchen display, online ordering sites and related APIs (together, the "Services");
- emails, calls and other communications between you and us.
Restaurants that use DineBills ("customers") collect information from their own guests, for example through an online ordering site or a loyalty programme. For that information, the restaurant decides how it is used and we act as its service provider (see section 6). If you are a guest of a restaurant, please also read that restaurant’s own privacy notice.
3. Information we collect
Account information
When you sign up, book a demo or contact us, we collect your name, email address, phone number, company or restaurant name, country, business type, number of locations and anything you write in your message. When you use the Services, we also collect user names, roles, login PINs (stored in protected form) and the details of devices you pair, such as device name, type and app version.
Restaurant and order data
To run the Services, we store the data you and your staff put into DineBills: branches, menus, prices, taxes, recipes, stock, floor plans, staff accounts, shifts, orders, payments recorded, refunds, discounts, receipts and reports. If you record your guests’ details (for example a name, phone number or delivery address for a delivery order), we store those on your behalf.
We do not store full payment card numbers. Card payments are taken on your own external card terminal or by a payment provider, and DineBills records only the amount and method.
Billing information
For paid plans we keep records of your subscription, invoices and payments. If online card billing is offered, card details are handled by the payment provider, not stored by us.
Website and usage data
When you visit our website or use the Services, we automatically receive technical information such as IP address, browser and device type, pages viewed, referring page, and campaign parameters in the link you followed (for example utm_source or gclid). In the Services, we log events such as sign-ins, errors, sync status and app performance so we can keep the system reliable and secure.
4. How we use information
- To provide the Services: create and manage your account, sync data between your devices and the cloud, print and route orders, and produce your reports.
- To support you: answer questions, help with onboarding and troubleshoot problems. With your permission, our support staff may access your account to help, and these sessions are recorded in an audit log.
- To keep things secure: detect and prevent fraud, abuse, spam form submissions and unauthorised access.
- To improve DineBills: understand which features are used and where the product is slow or confusing, using aggregated or de-identified data where possible.
- To communicate with you: service notices, security alerts and billing messages, and, if you have asked for it or we are otherwise allowed to, information about DineBills. You can unsubscribe from marketing emails at any time.
- To meet legal obligations: tax, accounting and record-keeping, and responding to lawful requests.
We do not sell personal information, and we do not use your restaurant’s order or guest data to advertise to your guests.
5. Cookies and analytics
Our website uses a small number of cookies and similar technologies:
- Essential: needed for the site and the Services to work, such as keeping you signed in to the back office and remembering campaign parameters for the length of your visit.
- Analytics: to count visits and see how pages perform, so we can improve the site. Where required by law, we ask for your consent first.
- Advertising measurement: if you arrive from an ad, we may record that the ad led to a visit or a form submission so we know which campaigns work.
You can block or delete cookies in your browser settings. Blocking essential cookies may stop parts of the Services from working.
6. Your restaurant’s data belongs to you
Your menus, orders, reports, staff records and guest information are your data ("Customer Data"). We process Customer Data only to provide the Services to you, on your instructions, and as described in our Terms of Service. We do not claim ownership of it.
You can export your data (for example reports to Excel or CSV) while your account is active. If you close your account, you can ask us for an export before your data is deleted (see section 9). You are responsible for having a lawful basis to collect your guests’ information and for telling them how you use it.
7. Processors and sharing
We use trusted service providers ("processors") to run DineBills. They may only use the information to provide their service to us, under contracts that require confidentiality and security. They include:
- Cloud hosting and databases: servers, managed databases, backups and content delivery networks that host the Services and our website.
- Email delivery: providers that send account, notification and support emails.
- Messaging: where you enable them, SMS or messaging providers that send order updates to your guests.
- Payments and billing: where used, payment processors for subscription billing or online orders.
- Analytics and advertising measurement: tools that help us understand website traffic.
We may also share information: between Codetrivio Technologies Inc. and Codetrivio (Pvt) Ltd. to provide and support the Services; with professional advisers; if required by law or to protect rights and safety; and with a buyer or successor if our business is reorganised or sold, in which case this policy will continue to apply to your information.
8. International transfers
We operate from Canada and Pakistan, and our cloud providers may store or process data in other countries. Wherever your information is processed, we protect it as described in this policy and use contractual safeguards with our processors. Where local law requires data to stay in a particular country, please contact us to discuss hosting options.
9. How long we keep data
- Customer Data: for as long as your account is active. After an account is closed, we keep it for up to 90 days so it can be restored or exported, then delete it from live systems. Backups are overwritten on a rolling schedule.
- Account and billing records: for as long as needed for the contract and for tax and accounting law, typically up to 7 years.
- Leads and enquiries: up to 24 months after our last contact, unless you become a customer or ask us to delete them sooner.
- Logs and analytics: generally up to 12 months, unless needed longer to investigate a security issue.
10. Security
We use technical and organisational measures to protect information, including encryption in transit (HTTPS/TLS) and at rest, a separate access token for every paired device, role-based permissions, audit logs of sensitive actions, data separation between customers, automated backups and restricted staff access on a need-to-know basis. No system is perfectly secure; if we become aware of a breach that affects your information, we will notify you and the relevant authorities as required by law.
You help keep your account secure by using strong passwords, keeping staff PINs private and removing access for staff who leave.
11. Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you and get a copy;
- correct information that is wrong or incomplete;
- ask us to delete information, or to restrict or object to how we use it;
- withdraw consent where we rely on it, including for marketing emails;
- complain to a data protection authority, such as the Office of the Privacy Commissioner of Canada.
To make a request, email [email protected]. We will reply within 30 days and may need to confirm your identity. If your request is about data a restaurant holds about you as a guest, we will pass it to that restaurant, which is responsible for answering it.
12. Children
DineBills is a business service and is not directed at children. We do not knowingly collect personal information from children through our website.
13. Changes to this policy
We may update this policy as DineBills changes or the law changes. We will post the new version here with a new "Last updated" date, and for significant changes we will tell account owners by email or in the back office before they take effect.
